Thank you for meeting with me on <DD/MM/YYYY>. We reviewed and discussed the agreed expected levels of attendance and whether these have been achieved, and the impact of any support put in place.

At the meeting you <were represented / accompanied by > <were not represented or accompanied and you were happy to proceed on that basis>.

I am writing to advise that <delete as appropriate>

you have met the expected attendance levels set and no further action will be taken.
This concludes the formal process although you should be aware that there is a continued requirement to maintain the agreed expected attendance level.


You have not met the expected attendance level set due to extenuating circumstances <insert details>. We agreed that improved attendance is anticipated and the review period will be extended for a period of <X days/ weeks/ months> until <DD/MM/YYYY>. If the required improvement is not achieved after the extended timeframe, the matter will be progressed to Stage 3. I will be in contact with arrangements for the further review meetings.


You have not met the attendance levels set and you are being referred to a Stage 3 Hearing.

Potential outcomes from the hearing are:

  • A further period of review;
  • Permanent redeployment;
  • Dismissal on the grounds of capability.

If you are dissatisfied with the outcome, you have the right of appeal under the NHSScotland Attendance Policy. Should you wish to do so, you should write to <manager’s name>, detailing your reasons for appeal within 14 calendar days of receipt of this letter.
